will experience mild to moderate respiratory illness and recover without requiring special treatment. To prevent such “community spreading”

home, stay safe for over a month
now.
We, at Manohar Chowdhry &
Associates (MCA), have come up
with this “Restart Manual” as a
guide for all our staff, clients,
visitors, etc. to ensure a safe
workplace and prevent occurrence
of transmission of this disease.

Overview of the document
COVID-19 is a WHO declared pandemic, impacting almost 200 counties across the world and India is no exception. Even though
India has till now managed to keep the spread under control, it’s too early to say we are safe as the curve is still not flat. To prevent
such “community spreading” Govt. of India & State Govt’s have taken immediate and appropriate measures to allow certain sectors
to be opened post “lockdown”. We being a private office are allowed to operate post 3
rd
May 2020 with 33% capacity. We at Manohar
Chowdhry & Assocaites, Chartered Accountants, also want to ensure a safe workplace and prevent occurrence of transmission of
this disease, either to any of our partners, staff, clients, visitors, etc. while in our premises. Hence, we are coming out with these
Standard Operating Procedures (SoP’s) which needs to be strictly adhered to, at our premises. COVID-19 is here to stay at least for
some more time until a vaccine is found and is made available. Until such time, we have to manage this virus and try and minimize
the chances of getting affected. Therefore, it is important for each one of us to understand and follow these new SoPs. This is for our
own safety.

The Objective of this document is to implement a robust and dynamic policy keeping in mind the development that unfolds around
as the pandemic continues and to ensure safety of our people, family, clients, suppliers and the society at large. The SOP is divided

A. Work pattern
The work pattern shall be combination of Work from office and Work from Home.
Shift timings (Work from office)
1. The Office shall operate based under two shifts:
1
st
shift – 08.00 AM to 01.00 PM (5 hours);
2
nd
shift- 01.30 PM to 06.30 PM (5 hours)
2. You are expected to work from home post shift hours based on client deliverables.
3. Employees taking care of children below age of 5 years and elderly people above 65 years can work from home and come to office
only if it is inevitable/unavoidable.
4. Employees belonging to areas which are classified as Red zones/Containment zones are supposed to mandatorily work from
home.
Office operations resumption date will be informed 2 days prior to the first shift. Week beginning today 4
th
May 2020 the Admin
Team will start preparing the Office Infra as per this SOP . Parallely this week, management will review the spread of Covid-19 post
lock down relaxations. On gaining confidence that offices can be resumed, you will be intimated office resumption date. Shift
Roosters will initially be for 1 week and post that there may be some changes based on the first week feedback.

B. SOP for Team Members:
Before Leaving Home
• Take bath, dress with fresh clothes and leave to office.
• If you are from Red / Orange area your entry into office is permitted, subject to Partner
clearance. Please call and discuss with him personally.
• Leave Home only after 7:00AM
• Each team member shall ensure before he leaves his residence to carry with him the
mandatory list of items as enlisted in Annexure as “Office Kits”.
• Activate Bluetooth, if not already activated, for Aarogya Setu app effectiveness.
• Wish your family with a big smile and hug and then proceed to office.
• Leave with your Face Mask on.
• Sanitise your 2-Wheeler handles, car steering wheel, gears and other touch prone
surfaces.
While commuting to office
• During travel within the area to reach office, team member shall ensure he has planned his route
well in advance and try to avoid the “Red zones” to the best of his convenience. If not possible, be careful to close the windows
in car and to maintain social distance while riding a 2-wheeler.

• It is recommended to wear gloves while driving/commuting to reach office.
• Office ID cards must be worn mandatorily during all times. This is also required to
be produced before the law enforcement authorities to ensure pass through the
wards.
• If you are riding a Two-wheeler, you should not have a pillion rider.
• In case of commuting by car, ensure only one in front and 2 in back seat.
• In case of commuting by public transport, extreme caution to be exercised by the
employee while traveling. One should wear double face mask, gloves, wind cheater,
jacket & Caps to protect skin and wherever possible maintain social distancing.
• In case you are picking a colleague, you need to keep your colleague well informed in- order to plan timings accordingly.
• Do not stop by, for any errand on the way to office and directly come to office.
Parking Near Office
•
Parking of vehicle must be outside the compound areas of office. No vehicle shall be
allowed within the compound area of office. Ensure your vehicle is not parked in a
manner in which it causes hindrance to other people and needs to be moved. Vehicle
parking will be at your own risk.
•
Ensure social distancing norm, even while parking.

Office Entry Point
•
Maintain a queue with a social distancing norm to enter the office.
•
On reaching the office premises, you will undergo thorough screening as follows
(a) Body temperature will be checked through thermal guns. If it is above 99 F you will not be
permitted to enter the office.
(b) The use of sanitizer before entering the office is a must.
(c) You are required to show the Green status on Arogya sethu app, without which access to
office shall not be allowed. Front line personnel shall enquire regarding places of visit
before entering office.
(d)
During the entrance to the premises, the team member should maintain social distancing
and follow the lane markings made at the entry.
•
Attendance shall be only through “Hubbler” App which uses geofencing. Please keep your location sharing feature turned
on. Biometric attendance has been disabled. Only Hubbler attendance shall be taken into
account.
•
While using the staircase do not touch the railing. Keep hands free
•
Footwears shall be required to be kept outside. All the employees (expect office boys, who shall
be provided the same from office) are advised to carry a pair of washable slip-on along with
them which are to be worn while in the office premises. We suggest you bring your pair of Slip-
On in a carry case and wear just before entering the office (Gym style). You are advised to wear
socks/carry while coming to the office.
•
Avoid touching hand-rails and common areas unless necessary.
Seating at Office & Work Etiquette
•
You will be given the designated chair and desk to work. The placard shall be placed at every work desk with the name of the
person. Your Chair will have your name. You must be seated at the allocated place only. Do not sit at desks marked ‘X”.
•
If your chair is not in your designated desk. Self-Pull your designated chair with your hand and push the other chair to the
side, with your leg (please do not touch any other chair other than yours with your hand)
•
Do Not leave your Office Bag on the desk. Keep it, next to you on the floor.

•
The telephone instruments (dedicated lines) to be self-cleaned with disinfectant at start and end of the shifts by respective
users.
•
Wearing of masks is compulsory – as mandated by govt. and its punishable
offense in case of non-compliance.
•
Team/client meetings shall continue to be conducted under google
meet/zoom calls.
•
Use your headphones/earphones for all Audio/Video calls and do not
disturb the environment around you. Be considerate of the other team
members working in your hall.
•
The team member should not leave the premises for unwarranted visits
during the working hours.
•
Avoid exchanging water bottles or personal items.
•
We will not be providing coffee/tea. You may bring your flask and cup
and have it at your desk.
•
There shall be no lunch/refreshment break between the shifts. Hence, you are expected to have a good breakfast/lunch before
reaching the office during your shift.
•
If necessary, carry home packed Snacks and have them at your desk without sharing.
•
No Cleaning of Snack box / Flask is encouraged in the Pantry or Restrooms.
•
It is the responsibility of every Individual member to follow good hygiene practices.
•
The habit of Frequent hand-wash using soap/sanitizer every 2-3 hours must be inculcated.
•
Regularly keep a check on the classification of your ward as Red/Orange/Containment Zone. If your ward gets classified as
a Red Zone/Containmaint zone, promptly intimate the same to Admin and follow the advise received.

At Time of leaving
•
On completion of your shift, you are expected to ensure your work desk is clean. Personal items should not be left unattended
on your work desk. Cups/waste should be disposed of immediately in dustbins.
•
You must clean your Laptop, keyboard, and mouse, with disinfectant before
commencing work and at the end of your shift.
•
Please dispose of the tissue in the closed dustbin near to you.
•
To avoid a large crowd near the exit at the end of the shift, you need to keep
in mind the social distancing norms, and exit from office in a staggered
manner.
•
Pack your Slip Ons and wear your footwear.
•
Those who are wearing slip-on provided by the office, please self-sanitize
them and leave at the designated place.
•
Sanitize your 2-Wheeler handles, car steering wheel, gears, and other touch
prone surfaces.
•
You are expected to plan your transportation back to your residence in the similar
lines made for reaching the office. In case you face any difficulty; we expect you to inform the management well in advance
in-order to ensure your safety.
•
You are expected to reach home before 7 p.m. (order by local police)

After Reaching your home
•
Call your home before reaching and let them leave the door open.
•
Wish your family with a Big Smile and no hugs.
•
Remove your Office Kit from your bag and either wash them / sanitise them
•
Sanitise your Mobile also and keep at a safe space.
•
Wash your hands for 20 seconds.
•
Put your clothes to laundry and take a fresh shower.
•
Enjoy your family time, have a good sleep and rejuvenate.

C. SOP for Admin & Infra team for maintaining hygiene
Cleaning Process
•
Two shift cleaning to be followed in the office (i.e., Morning 7.15 AM and afternoon 1.00 PM).
•
Following are in charge of cleaning:
a) Morning shift: Venkatamma and John
b) Afternoon shift: Srikanta and Kirana
c) Both shifts cleaning to be supervised by Balu and report to Nitish
•
The use of gloves while cleaning/disinfecting office space must be adhered to.
•
Procure Chemical based disinfectants/cleaning solutions
as the prime objective is to eradicate the potential virus, germs and bacteria.
•
All doorknobs/handrails/switches/floors shall be cleaned using a disinfectant.
•
All Chairs and Desk spaces should be disinfected with Surface Disinfectant.
•
All Keyboards, Mouse, PC Monitors, Telephone Instruments, Printers & Scanners to be cleaned with disinfectant.
•
Fumigation shall be undertaken at the office weekly.
•
Used Slip-on left at designated space, should be cleared by end of each shift. At day end, the slip ons to be soaked in Hot water
with disinfectant and dried for use the next day.
•
Gloves to be disposed of at the end of the day.
•
At the end of each shift, the dustbins to be cleared. Each dustbin to have garbage bags and the garbage bags are disposed to the
larger dustbin kept outside the office.
•
The larger common dustbin to be cleared by BBMP every day and this to be monitored and liaison by the Admin team.
Seating Arrangements
•
Prior to office resumption, Admin team to mark Desks which can be used and not used, with
the objective of maintain social distance and free walking space.
•
Desks which cannot be used should be marked with a ‘X” and each usable desk be given a
unique identification no. This Identification no. will be updated on Google sheets.
•
Based on seats available at each office, Admin, in discussion with Vertical heads, will decide
which Vertical will work on what shift and what would be the frequency, i.e. daily / alternate days etc.

•
Admin team must ensure the seating plan is laid across effectively as per the number provided by Vertical Heads /Team
Leader from time-to-time.
•
Vertical Heads / Team Leader to intimate Admin the details of persons who will be attending the office from their respective
team, 24 hours before the shift starts. This will be done through the Google sheet provided.
•
Based on above data, Admin will allocate the seats. No Changes to be done for the allocated seat without consent of the
Partner.
•
Seating arrangements to be reviewed on every Saturday, get feedback and re-plan if required with minimum changes to
allocated seats.
Other Arrangements
•
Social distancing circles to be marked at entrance for screening and at other places as maybe appropriate.
•
Arrange facesheilds for personnel screening.
•
All access to printers/scanners shall be limited to admin staff only. Members are required to request the designated admin
members in accessing the print documents and scanning of files.
•
Access to terrace /common areas should be restricted.
•
All doors must be kept open. (Main entrance, entry door to the working area, all cabin doors).
•
Handsfree sanitiser dispensers shall be placed at entrance of the offices and near restrooms.
•
Access to restroom and usage shall be as per the policy mentioned in Annexure
•
No delivery of food/E-commerce delivery shall be made at office address.
•
Courier /Postal boys shall be allowed only till the entrance and the transaction be completed outside. Avoid signing the
documents / e-device. If to be done, use your own pen. Avoid using the office seals.
•
Office seals to be cleaned with disinfectant at start and end of each shift.
•
Usage of Landline shall be restricted to front desk only. In case the caller needs to speak to specific member; the front desk
member shall note the caller’s ID and share it to such specific member. Also, the caller would be provided the mobile number
of the respective member, requesting them to call them on their mobile numbers since Intercom facility will be discontinued.
•
Connectivity within office shall be wireless. No Lan cables shall be allowed to move/use.
•
People attending office should restrain themselves from visiting any other places other than for essentials/emergencies. (Should
not be done while reaching office)
•
Nitish/Akshay to monitor the status of wards with respect to their classification as Red/Orange/Green or Containment Zones
and update the same.

D. SOP for clients / visitors management
1.
Management does not encourage in-person visit of clients/members of another
organisations/guest. Akshay/ Ramesh (IT team) to see if it can be addressed over a video call
or a call.
2.
In unavoidable circumstances, Akshay shall intimate to Partner & Admin team regarding
planned visit of outsiders. Only with prior approval, the Admin team shall make arrangements
for designated seating for such meetings.
3.
Policies regarding screening, Masks, footwear, hygiene applicable to employees shall apply to
Client/Visitor mutatis mutandis. IT team or the concerned team member must inform the visitor
regarding the same via mail/phone.
4.
Front office shall maintain visitor log as per format prescribed. Filling this log shall be done by
Front office member only.
5.
Welcome board shall be placed outside office to intimate visitors regarding the measures taken and avoidance of meetings.
6.
Every client to be greeted with a 'Namaste' that should become the default substitute of handshakes, even between employees.
7.
No Refreshments to be served to any visitor.
8.
Water, if requested, to be served, by Admin team in sealed small bottles.
9.
Clients to be requested to dispose of the water bottles in the nearest closed dustbin or encouraged to carry back with them.
10. Make sure back to back meetings are scheduled in a way to avoid clash/overlap. This will avioid too many clients walking in
and out at the same time.
11. If client shares any documents, the same to be scanned by Admin team with gloves on and the document returned back. Post
scanning, the surface to be cleaned using disinfectant.
12. Client to leave the Slip on provided at designated spaces.
E. SOP for third party service providers
1. All deliveries of office essentials shall terminate at Office entrance only.
2. Plan all the needs before commencement and place order at timum quantity.
3. Screening of delivery boys before entry to office compound.
4. Masks to be worn by all delivery boys.

5. If there is a need to allow any third-party service provider with in office, the same needs to be approved by Partner.
6. The Policies regarding screening, Masks, footwear, hygiene applicable to Employees shall apply to Third party service
providers mutatis mutandis. Admin or the concerned team member must inform the visitor regarding the same via mail or
phone.
F. Other general matters
1. Access to server shall continue to be restricted. Detailed policy regarding this shall be shared
by IT administration team.
2. CCTV shall be installed at all office entrances and common spaces. Management shall monitor
at frequent intervals.
Note – These policies are subject to frequent changes depending on situation. We, as organisation have adopted a proactive approach
to react to the dynamicity of the situation. Changes shall be intimated on frequent intervals.

Annexures to the SOP
1. Notice on the office welcome board:
a) Visitors are not allowed without appointment
b) Do not enter without Mask
c) Leave your footwear outside.
2. Maintenance of office restroom (High Importance):
a) Restroom etiquette is highly important and to be followed very strictly. This is important for both your and others Health &
Safety.
b) Restrooms will be cleaned twice a day (i.e. Morning before 8.00AM & afternoon 1.30PM)
c) Enter Restroom by pushing the door open with your elbows.
d) All users to spray the sanitizer on the door lock, taps, wash basins and toilet seat, before and after using the washroom.
e) Use tissue paper to hold the sanitiser spray and to operate the taps.
f) Wash your hands as instructed by WHO
g) Used tissue paper to be disposed in leg-operated dustbins very carefully. Do not touch the dustbins. Handle the dustbins with
care.
h) Cleanliness to be maintained once used (including not leaving the toilet seats wet)
i) Keep the Restroom door a bit open for the next user.
j) Admin team to spray Air-freshener every one-hour frequency or check room freshener is replenished.
3. Couriers and Post in office:
a. No courier/postage persons are allowed inside office
b. The following people will be responsible for collecting or dispatching the posts and courier from entrance:
• Morning shift: Balu
• Afternoon shift: Balu
c. Avoid signing the documents / e-device. If to be done, use your own pen. Avoid using the office seals.
d. The collected couriers or posts have to be handed over to Nagaraj on daily basis which he will enter in the inward/outward
register and then hand over the same to respective persons.

e. Theprocess for sanitising the documents/parcels will be intimated in due course.
4. Telephone Handling in office:
a. Only 1 person would be handling the telephone in each office. That person has to note down the message from the caller and
inform the respective person. In case, the caller wants to directly talk to the respective person, then the mobile number of that
person has to be provided. All intercoms and telephones except one at the office receiption to be disconnected.
b. The instruments to be self-cleaned with disinfectant at start and end of the shifts by respective users.

5. Handling of laptops in the office:
a. Sanitise your respective laptops before and after an office meeting;
b. Laptops to be sanitized at the start and end of the shifts by respective users.
6. Handling of office files:
a. Sanitise your hands before and after touching any office files;
7. Handling of Printing and Scanning in the office:
a. All printing and scanning in respective offices to be handled only by personnel enlisted in (f)
Nobody other than the below would have access to the printers or scanners
b. Any person, who wants to take print, should inform the respective person enlisted in (f) and give the prints.
c. If client shares any documents, the same to be scanned by Admin team with gloves on and the document returned back. Post
scanning, the surface to be cleaned using disinfectant. If the documents have come by courier, then the same would be punched
in a Box file and kept aside. Disposal process will be intimated in due course.
d. The documents arrived by courier shall be opened by person-in charge of inward courier and given to person in-charge of
scanning. Post scanning, the surface to be cleaned using disinfectant. If the documents have come by courier, then the same
would be punched in a Box file and kept aside. Disposal process will be intimated in due course.

8. Office kit
Every member shall carry with him/her an office kit which shall consist of the following –
a. Office ID card
b. Govt Issued ID card
c. Mini Hand sanitiser bottle (refillable)
d. Few disposable tissues-papers
e. Spare face mask
f. Prescribed medication
g. Water bottle – 1ltr
h. Snacks (optional)
i. Tea / Coffee in Flask (optional)
j. Alcohol based wet wipes (optional)
9. Alternate for Footwear Management
Where feasible , based on availability of equipment and material, we may use Shoe Cover dispensing machines in the office. If
this is used, the detail management of footwear explained above would not be applicable. All those entering
office are required to cover their shoes with the disposable shoe covers and use it till the time of leaving the
office . At time of leaving the office, it is very important that the shoe covers are disposed hygienically in
the dustbin designated for the same . The Admin team should carefully dispose this at end of the
day into the main dustbin.
